One Booking Plan for the Agent, Booker, and Traveler
The travel professional may make and pay for the reservation while the client remains the primary passenger contact. Provide the traveler’s full name and reachable mobile number, the agency or booker contact as backup, exact pickup and destination addresses, date and time, airline and flight number when applicable, passenger and luggage counts, selected vehicle, and every requested stop.
The agency should share the confirmed itinerary and reservation-day instructions with the traveler. Passenger-facing pickup details can be requested from our reservation team, but communication is not treated as automatic: the traveler and booker remain responsible for monitoring calls or texts and reporting material changes.
Arrival coordination
Airport Arrivals, Meet-and-Greet, and Flight Changes
Airport reservations can include flight monitoring, curbside coordination, or optional inside meet-and-greet when requested and confirmed. Airport arrivals include 60 minutes of waiting time under the confirmed terms. International itineraries should allow a realistic buffer for immigration, customs, and baggage claim, and a passenger delayed in the terminal should call or text promptly.
A delayed flight may change arrival coordination when accurate flight details are supplied, but a cancellation, missed connection, rebooking, replacement flight, or changed flight number must be reported. Substantial changes may require the reservation to be reconfirmed and may affect availability or charges.

Vehicles for Individual Travelers, Families, and Groups
Travel professionals may request the Lincoln Aviator for up to 3 passengers and 3 bags, the Chevrolet Suburban LT SUV for up to 6 passengers and as many as 6 standard-size bags when dimensions and seating permit, or a Mercedes-Benz Sprinter configuration for 6, 7–10, or 11–14 passengers. Passenger capacity never guarantees that oversized luggage, mobility equipment, golf bags, or event materials will fit.
Send the approximate size and quantity of all luggage and special items before confirmation. If an SUV cannot carry the party and belongings safely, the reservation should use a suitable Sprinter configuration or another approved vehicle plan.
Trip coordination
Secure Payment and Approved Agency Arrangements
Transportation is paid through a secure cashless process rather than an in-vehicle transaction. An authorized client card or agency card may be used subject to the cardholder and reservation requirements. The confirmed quote identifies the transportation price and any applicable tolls, parking, airport fees, meet-and-greet, waiting, additional stops, or date-specific conditions.
Invoice billing, recurring account terms, referral compensation, or commission arrangements are not automatic. Any such commercial terms must be reviewed and accepted in writing before the affected reservation. Changes, cancellations, and no-shows remain governed by the individual written confirmation.

For a straightforward trip, use the online booking form with the complete passenger and itinerary information. For several travelers, multiple vehicles, a roadshow, event movement, an extended itinerary, private aviation, or recurring client transportation, contact the reservation team before booking so timing, contacts, vehicle assignments, and payment responsibility can be reviewed together.
Advance reservations are recommended, particularly for airport meet-and-greet, Sprinter groups, weddings, conferences, major events, coastal travel, wine-country itineraries, and early-morning service. Same-day requests remain subject to a suitable vehicle and chauffeur being available.

Can a travel advisor reserve for a client? Yes. The advisor or agency may act as booker and backup contact while the traveler’s name and reachable mobile number remain attached to the trip.
Do you offer automatic agency commission? No automatic percentage is promised. Referral, commission, invoice, or recurring-account terms apply only when accepted in writing before the reservation.
Can you coordinate several passengers or vehicles? Yes, subject to availability. Submit the full passenger list, mobile contacts, flight details, addresses, luggage, vehicle requirements, and schedule so a coordinated plan can be confirmed.
Can the client receive pickup instructions? Yes. The agency should share the confirmation, and passenger-facing meeting instructions may be requested. The passenger must keep the supplied mobile phone available for reservation-day communication.
